Creating Global & Personal Rate Tables (New UI)

Personal Rate Table (i.e. John Smith makes $14/hr when working “Theatre” and Jane Smith makes $25/hr when working “Theatre”) - This would apply a special rate only to specific employees

  • On the employee’s profile, under the Base Compensation widget, click the optionmceclip0.png

  • In the Rates widget at the bottom, click the Actions icon mceclip1.png then 'Add' to enter a Personal Rate  mceclip3.png

    • Enter a Description of what the rate is being used for (i.e. “Theatre Rate”)
    • Enter the Rate Amount/Hour this specific employee receives (i.e. $14/hr or $25/hr)
    • Under the Global Match Criteria section, select the options the employee would need to select to receive this rate (i.e. “Department” = Theatre)
      • Each item selected under Global Match Criteria will require all those items be present for the employee to receive the rate (be cautious not to select too many criteria to be met, otherwise the employee will never have the rate applied)
    • Click 'Save' at the bottom to add this Personal Rate to the employee’s Rate Table
  • Place any Personal Rates above the “Base Compensation Record”

    • Click the Actions iconmceclip1.png to the right of the rate and select 'Move Up' to move the placement above “Base Compensation Record”
    • Click 'Save'
  • Once all special rates are built be sure to click 'Reapply Rates' in the top right to apply these new rates to the current timesheet
      • Enter the current pay period From/To dates then click 'OK' to reapply the new rates to the current timesheet
  • Click 'Save' once more before exiting the employees’ Personal Rate Table screen

 

 

 

Global Rate Table (i.e. “On Call” rate at $3/hr) - This would apply the same rate for a group of employees

  • Click the hamburger menu icon mceclip6.png in the top left, then navigate to Admin mceclip7.png > Company Settings > Global Setup > Rate Tables
  • Click 'New Rate Table' in the top right to add a new GLOBAL rate          
    • Enter a Name explaining what the rate is for (i.e. “On Call Rate”)
    • Enter a Description explaining what the rate is (i.e. EE receives $3/hr when working “On Call”)
    • Click 'Save'
  • In the Rates widget at the bottom, click 'Add' to enter a GLOBAL rate

    • Enter a Description of what the rate is being used for (i.e. “On Call Rate”)
    • Enter the Rate/Hour ALL employees receive (i.e. $3/hr)
    • Under the Global Match Criteria section, select the options the employee would need to select to receive this rate (i.e. “Department” = On Call)
      • Each item selected under Global Match Criteria will require all those items be present for the employee to receive the rate (be cautious not to select too many criteria to be met, otherwise the employee will never have the rate applied)
      • Click 'Add' at the bottom to add this Global Rate to the table
  • After all GLOBAL rates are entered, click 'Save' at the top
  • You will need to apply this Global Rate Table to the applicable employees (Note: if this should be applied on all new hires going forward, contact your CSR to have the Global Rate Table added to your Global Settings)
    • Select the hamburger menu icon mceclip6.png in the top left, then navigate to Admin mceclip7.png > Company Settings > Mass Edit > Mass Edit Rates
    • Check the box on the left to select the applicable employees for this Global Rate Table, then click 'Utilities' on the top right
    • Click ‘Mass Edit Rate Table Extensions’ function

      • Leave the ‘Extend Rate Table’ section blank. This option can only be used if the employees do not have a Base Compensation/Personal rate entered
      • There are several variations that can be selected under the ‘Ways To Expand Rate Tables’:
          • Get Alternative Maximum Rate From – Will apply the higher of the two rates to the entry on the timesheet.
          • Add Extra Rate From – Will apply the sum of the two rates to the entry on the timesheet.
          • Get Alternative Rate From – Will always apply the rate in the personal rate table instead of the extended rate table, unless there is no match in the personal rate table.
              • You cannot update the personal base compensation rules so the system will always ignore this extension rule and look to the base comp personal rate table first
              • This would only work if rate 1 table on the global level was not tied to base rate
          • Get First Alternative Rate From – Will always apply the rate in the extended rate table instead of the personal rate table, as long as the criteria in the extended rate table are met. This is what is used most often
          • Multiply By Rate From – Will apply the product of the two rates to the entry on the timesheet. (i.e.: if ee’s base rate is $11, and rate table is $3 rate will become $33)
          • Note: Extensions can work together (and combine) depending on the order of how they are added. For any questions, contact your CSR
      • For the scenario being outlined in this guide “Get First Alternative Rate From” would be the selection to use then select the Global Rate Table you previously created

        • Click 'OK' to update all employees
  • Lastly, you will need to push these new Global Rates to the current timesheet
    • Select the hamburger menu icon mceclip6.png in the top left, then navigate to Admin mceclip7.png > Company Settings > Time & Labor Maintenance > Reapply Rates To Timesheets

    • At the top, enter the current pay period into the From/To dates
    • Check the box on the left to select all employees
    • Click 'Reapply'
